TimeSuite Module - Timesheets

TimeSuite enables users to create timesheets in seconds.

  • Timesheets can be created automatically when the user completes a task, or they can be manually entered in cases when a system task is not available or appropriate for the situation.

  • TimeSuite automatically tracks and sends reminders to users who have not submitted timesheets or have not submitted sufficient hours in their timesheet.

  • Timesheet Approvers who have not approved timesheets by the due date are automatically send reminders.

  • Reports are available showing detailed breakdowns of this information potentially saving your staff hours of unnecessary work every week.

  • TimeSuite offers two different types of timesheet entry screen depending on your group subscription.

The first option is for QuickTimeSheets and TimeSheets Plus plans

and the second for Custom Plans including Project Management;

The timesheet screen for each user automatically opens on the current day, displaying any timesheets already entered for that day.

Simple, one click navigation allows the user to move to other days, either to view or to enter timesheets.

A summary of timesheet entries for the current week is shown in the upper left of the screen, broken down into cost centres.

An additional summary tab (view screen shot) to the right of the daily tabs allows the user to view a complete breakdown of each timesheet entry for the current week grouped into client, project and cost centre.

Creating a Timesheet Entry

Creating a timesheet entry only takes seconds. Navigate to the correct day, select the appropriate Project and Job Type to charge your time to, enter the hours and an optional comment, click the "Save Timesheet" button and it's done.

Entering a timesheet is easy because the user only sees Projects and Job Types that the Project Manager has specified that they are involved in. This greatly reduces the chance of incorrectly entering data.

Submitting Timesheets

Submitting timesheets is as easy as clicking a button.

Select the timesheet entries to submit and click the 'Submit Timesheet Entries' button. Timesheets are then processed according to defined approval rules which can be setup for different combinations of Project and User on either a global or local basis or set to auto approve.

Exporting Timesheet Information

Exporting Timesheet Information to other systems is also quick and easy. TimeSuite can create real time downloadable files containing approved timesheet information for import into other systems.

The TimeSuite Timesheet module is able to track far more than just hours. The Project Manager can easily configure a Project to track almost anything.

Common examples could be travel (kilometres) or hotel stays (dollars) right down to pages printed during a project. Each of these has a cost which is normally required to be tracked.

TimeSuite can easily track these and more.
